Match the packing to the goods
Choose outer packaging, internal protection and closures according to the weight, shape and sensitivity of the goods. Control empty space with suitable protective material and state any stacking restrictions clearly. Seek advice from someone familiar with the particular goods and transport method when specialist packing is needed.
Make every package identifiable
Mark package numbers and consignee details legibly. Match the numbers to the packing list and remove obsolete or conflicting labels. Avoid unnecessary personal information on the outside; share contact details and documents with the responsible transport contact through the agreed channel.
Record the condition before handover
Check package counts and visible condition. Record damage, opened packaging or discrepancies and discuss them with the receiving contact before handover. Keeping packing photographs and a copy of the receipt can help resolve later discrepancies; this does not replace insurance or contractual terms.
Check the handover receipt
Review the shipment reference, number of packages handed over, handover time and receiving person's name. Read any condition notes and retain the agreed copy. Store documents and photographs with restricted access in the relevant shipment file.
