Request quotations using the same information
Send every provider the same shipment and route details. Differences in weight, dimensions, addresses or cargo readiness can make quotations difficult to compare. Keep the date and version of the information used for each proposal.
Separate transit time from the complete journey
Ask about preparation, collection, transfers and final delivery alongside the vehicle's transit time. Clarify whether a stated time is an estimate or a commitment subject to defined conditions. Discuss potential delays and how schedule changes will be communicated before confirming.
Read the cost and responsibility breakdown
Request a list of services included and excluded from the quotation. Ask about charges dependent on actual shipment conditions, storage or additional services. Currency, quotation validity and responsibility for each payment should be clear. Read the agreed liability terms, insurance cover and claims procedure.
Record and recheck the chosen option
Compare the selected option with the goods' requirements and the loading and delivery locations' capabilities. Confirm the current schedule, shipment details and quotation terms in writing before booking. Request a review if the information changes so arrangements do not continue on an outdated basis.
