Record the cargo details together
Prepare a clear description of the goods, package count, gross weight and dimensions of each package. Include a unit beside every measurement and distinguish measured values from estimates. Share an updated version with the parties involved whenever the information changes.
Specify the route and timing
Record the collection and delivery addresses, vehicle access restrictions and opening hours. Separate the date the cargo will be ready from the requested delivery date. If timing is flexible, state the acceptable window so transport options can be considered against the same requirements.
Explain special handling requirements early
Describe fragile goods, temperature requirements, stacking restrictions and loading or unloading arrangements. Discuss dangerous goods and any permit requirements with the responsible specialist before booking. Cargo acceptance and documentation depend on the goods, route and carrier.
Define the scope of the quotation
State which part of the journey the quotation should cover and whether collection, packing or final delivery is required. Ask the provider to identify included and excluded items, the quotation validity period and payment conditions. Before confirming, compare the proposal with the latest shipment information.
